How to Secure Email

Option 1: Using Outlook Web Access

  1. Make sure your browser is in the Outlook Web Access
  2. Click “New Mail”
    Shows "New Mail" button
  3. Click “Options”
    Shows where to find the "Options" on the menu bar
  4. Click the lock icon
    Shows where the lock icon is in O365
  5. Select the appropriate protection from the dropdown

  6. You will notice a new information bar that indicates the level of protection selected

  7. You may change the permissions and protection at any time before sending the email. Once the email is sent you cannot change the permissions or protection.
  8. Complete and send your email as normal.

 

Option 2: Using the Outlook Client

The steps are exactly the same as when using the web access, but the look is a little different.

  1. Click “New Mail”

  2. Click “Options”
    Shows where "Options" can be found in Outlook client
  3. Click the lock icon
    Shows Encryption button in Outlook client
  4. Select the appropriate protection from the dropdown

  5. You will notice a new information bar that indicates the level of protection selected

  6. You may change the permissions and protection at any time before sending the email. Just click the lock icon again and select a different level of protection. Once the email is sent you cannot change the permissions or protection.
  7. Complete and send your email as normal.
